Title: Sales Order Processing Specialist

Department: Operations Team (PD Solution Business Unit)

Reports To: Operations Manager

Location: Lincolnshire, IL Office

Job Summary:

The Sales Order Processing Specialist plays a pivotal role in ensuring the seamless flow of our sales operations and customer satisfaction. This position is responsible for the accurate and efficient processing of all incoming sales orders, from initial entry to final invoice. A key component of this role involves managing the Return Merchandise Authorization (RMA) process, ensuring timely and correct handling of product returns and exchanges. The ideal candidate will possess exceptional attention to detail, strong organizational skills, and a commitment to delivering outstanding customer service while maintaining data integrity across all order-to-cash activities.

Key Responsibilities

Sales Order Processing Specialist is responsible for and not limited to the following:

Order Entry & Verification:

  • Receive and accurately input sales orders from various channels (e.g., email, portal)
  • Verify order details, including item codes, quantities, pricing, shipping information, and customer specifics, against purchase orders and internal records.
  • Identify and resolve discrepancies with sales representatives or customers.

Order Management & Tracking:

  • Monitor order status from placement to delivery, proactively identifying and addressing potential delays or issues.
  • Coordinate with production, warehousing, and shipping departments to ensure timely order fulfillment.
  • Update customers and sales team on order status, backorders, and shipping details.

Return Merchandize Authorization (RMA):

  • Receive and review customer requests for returns, exchanges, or repairs.
  • Determine eligibility for return based on RMA policy, warranty terms, and product condition.
  • Generate and issue RMA numbers, providing customers with clear instructions for returning the product.
  • Accurately record all RMA details in the system.

Customer Communication & Support:

  • Respond to customer inquiries regarding order status, product availability, pricing, and shipping.
  • Provide excellent customer service, resolving issues and complaints related to orders in a professional and timely manner.
  • Assist with returns, exchanges, and credit processes as needed.

Data Integrity & Reporting:

  • Maintain accurate and up-to-date customer and order information in the ERP system.
  • Generate reports on order volume, processing times, and other relevant metrics.
  • Identify opportunities for process improvement to enhance efficiency and accuracy.

Documentation & Compliance:

  • Maintain organized records of all sales orders and related documentation.
  • Ensure compliance with company policies and procedures related to order processing and customer service.
  • Assist with internal audits as required.

Collaboration

  • Work closely with sales, finance, operations, and logistics teams to ensure seamless order flow.
  • Participate in team meetings and contribute to departmental goals

Qualifications:

  • Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Supply Chain, or a related field preferred.

Experience:

  • 2+ years of experience in sales order processing, customer service, or a related administrative role, preferably in a face-paced environment.

Technical Skills:

  • Proficiency with ERP systems (e.g. SAP, Oracle, NetSuite) is highly preferred.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with CRM software (e.g., Salesforce) is a plus.
  • Familiarity with EDI (Electronic Data Interchange) is a plus.
